POSITION SUMMARY:
The Administrative Assistant will provide high-level administrative support to the CEO and other senior staff for the operations of the Network. This role will coordinate various calendars, manage emails, prep for large meetings and presentations, capture notes in meetings, and excel at organization. Responsibilities will include management of multiple peoples’ time and expectations, Human Resources administrative tasks, and interacting with team members across the organization along with external vendors.
CORE FUNCTIONS
- Communicating with potential job candidates
- Managing HR records including, résumés, applicant logs, and employee forms
- Managing pre-employment and onboarding documents
- Issuing and assisting new employees with enrollment documents
- Receiving emails related to human resource queries and sending to the appropriate person
- Managing and maintaining human resource records
- Organizing and maintaining files and databases in a confidential manner
- Receiving incoming communication on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Responding to and resolving administrative inquiries and questions.
- Coordinating and scheduling travel, meetings, and appointments for senior staff.
- Preparing agendas and schedules for meetings.
- Recording and distributing minutes or other records for meetings.
- Maintaining a system for recording expenses.
- Proofreading and typing documents and correspondence produced by department.
- Processing required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters.
- Assisting with preparation of human resource reports such as attendance, new hire, and turnover reports.
- Providing high-level administrative support and assistance to the CEO and other assigned leadership staff.
- Performing clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
- Scheduling and attending meetings on behalf of executives, taking notes and recording minutes.
- Performing additional duties as assigned by executives.
OUR IDEAL CANDIDATE – to be considered for this role you will need:
- Associate’s degree required; bachelor’s degree in related field preferred.
- Three to five years of experience in an administrative role.
- Capability to uphold employee confidentiality and safeguard sensitive information.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Ability to work independently.
