Who You Are

 

As the HR Coordinator, you are the first point of contact for the Human Resources office at the FRCC Campus. You administer and coordinate functions in the HR office with emphasis on HR/Payroll workflow, payroll-related data entry, new hire set-up, supervising student staff and providing administrative support to the HR&OD Department.

Ideally, you are an effective collaborator across a variety of stakeholders and have a commitment and passion for continual process improvement and customer service. You possess strong organizational skills, attention to detail, and interpersonal skills with a sense of urgency.

While this position has some flexibility for remote work, this position will require consistent campus presence. This position may also travel occasionally to all three FRCC campuses.
Please note: You need to be a Colorado resident on your first day of employment.

SALARY: $51,603 to $54,183 annually

Primary Duties

Manage New Hire Paperwork and File Setup:

 

  • Initiate background checks appropriate for the new hire’s employee type, including gathering necessary release forms from new hire. Escalate flagged backgrounds to the HR Generalist for timely review. Send decision letters as appropriate and required by the Fair Credit Reporting Act.
  • Communicate with new hires, explaining full process, detailing what paperwork needs to be completed in the onboarding system and which paperwork needs to be completed in person, and the expected timeline of onboarding. Follow up with new hires and onboarding contributors when the onboarding process is stalled.
  • Collaborate with onboarding contributors, including supervisors and instructional departments to ensure stakeholders understand the process and to ensure timely completion of new hire paperwork.
  • Ensure all paperwork and processes are completed correctly to ensure data accuracy and timely onboarding to meet internal and external deadlines.
  • Maintain and update timely all internal documentation and data management tools for consistency in process and open communication with other team members.

 

HRIS Data Entry and Employee Set Up:

 

  • Enter and set up employees in HRIS systems ensuring the accuracy of data. When errors are discovered, notify proper source to correct issues.
  • Calculate, adjust, and enter payroll-related data for part-time and hourly employees including reviewing and processing with accuracy Hourly Appointment Forms as well as instructional and hourly payroll contracts via FLAC. Ensures data is accurate so employees are paid correctly and on time.
  • Review HRIS and other data sources in conjunction with knowledge of guidelines, processes, timelines, and federal and state regulations to correct and prevent payroll issues. Examples include timesheet access, supervisor routing, and data errors.
  • Process changes of personal data, direct deposit banking, tax withholdings, and other employee data.

 

Records & Data Management:

 

  • Responsible for data storage and maintenance of HR files to ensure compliance with state system archival requirements and FRCC HR processes.
  • Routinely perform internal audits on HR files.
  • Ensure accuracy of student employee work.

 

Leave and Time Management:

 

  • Monitor and process Time and Leave requests for employees including regular, Family Medical Leave Act (FMLA), Leave Without Pay (LWOP), Compensatory Time, Workers Compensation, and other leave types.
  • Assist employees and supervisors with questions on timesheets and leave requests.
  • Perform annual leave roll over from one fiscal year to the next.
  • Perform audits of submitted timesheets, leave requests, and compensatory time requests. Communicate with employees and supervisors about corrections.
  • Follow up with employees and supervisors on change requests to ensure data, records, and payroll accuracy.

 

Office & Administrative Support:

 

  • Serve as the first point of contact for the HR office, providing high-level customer service to all internal and external customers. This includes providing direction and answering non-HR related inquires.
  • Ensure sufficient office and front desk coverage during operating hours to meet business needs of office, availability of forms, and office inventory.
  • Hire, train, and supervise HR Student Employees. This includes monitoring HR student employee(s) work product.
  • Provide support to HR leadership. This includes creating documents, managing appointments, assembling and organizing the documents for Colorado Open Records Act (CORA) requests and legal processes, and work collaboratively on HR special projects.
  • Compose and prepare correspondence, memos, and spreadsheets as needed in Microsoft Office Applications (Word, Excel, Outlook, and PowerPoint).
  • Support the Assistant to the Vice President of Organizational Development and HR. Serve as a backup to coordinate set-up of special functions (i.e. training sessions, meetings).
  • Assist with submission of Workers Compensation claims by entering injury reports into online data base.
  • Process and complete employment verifications, Public Service Loan Forgiveness (PSLF) applications and Tuition Reimbursement requests for employees.
  • Provide support and back up to other HR Coordinators for all duties as needed.

Qualifications

Required Education/Training & Work Experience:

 

  • Associate’s Degree in Business or a related field and two years of professional work experience with a focus on working with HR payroll, onboarding, technical processes, or data analytics.

OR

  • Bachelor’s degree in Human Resources, Business Administration or a related field and demonstrated skills related to: HR payroll, onboarding, technical processes, or data analytics.

AND

  • Human Resources experience
  • Understanding of Equity, Diversity & Equity concepts and how these concepts influence HR practices and workforce development.

 

Preferred Education/Training & Work Experience:

 

  • Ability to communicate effectively in Spanish
