JOB OVERVIEW

We are seeking a dedicated remote full-time Bookkeeper and Administrative Specialist to join our dynamic team. This role is essential in ensuring the smooth financial and administrative operations of our company. You will be responsible for maintaining accurate financial records, managing invoices, and providing comprehensive administrative support.

KEY RESPONSIBILITIES

• Bookkeeping:
• Maintain accurate financial records using QuickBooks.
• Record day-to-day financial transactions.
• Reconcile bank and credit card accounts monthly.
• Process accounts payable and receivable.
• Manage payroll and ensure timely payments.
• Prepare and file sales tax returns.
• Generate financial reports, including balance sheets, income statements, and cash flow statements.

 

• Reporting:

 

• Prepare monthly, quarterly, and annual financial reports.
• Analyze financial data to identify trends and provide insights.
• Assist in budget and forecast preparation.
• Develop and maintain financial dashboards and KPIs.
• Administrative Support:
• Handle scheduling, correspondence, and office management tasks.
• Maintain organized records of company documents and files.
• Assist with HR tasks like onboarding new employees.
• Coordinate with external vendors and service providers.
• Manage office supplies and equipment.

Invoice and Collections:

• Generate and send out invoices promptly.
• Monitor accounts receivable and follow up on overdue invoices.
• Reconcile invoices with client payments.
• Maintain detailed records of all invoices, payments, and collections.
• Prepare and send out 1099 forms at year-end.

QUALIFICATIONS

• Proven experience as a bookkeeper or in a similar role.
• Proficiency in QuickBooks and Microsoft Office Suite.
• Strong understanding of accounting principles and practices.
• Excellent organizational and multitasking abilities.
• Strong communication skills, both written and verbal.
• High attention to detail and accuracy.
• Ability to work independently and as part of a team.
